What was the restructuring for?
Last fall, the College engaged Deloitte’s Information Technology group to conduct a strategic review of the Information Technology Services department from top to bottom. The review was a comprehensive review of governance, practices, policies, organizational structure, and technology, as well as a review of the maturity of the department’s service delivery model. The recommendations that came from Deloitte were to restructure the department into the new structure being implemented now. This new structure will enable us to provide optimal service now and into the future.


What is the new organizational structure?
See this Organizational Diagram for details on the new structure. We will update a version with names of incumbents after we make additional hires.


What has been outsourced in ITS and why?
The network infrastructure, server management, and telecommunications infrastructure were outsourced over the winter to a managed services provider in order to address growing challenges with stability and availability of the network. These environments are increasingly complex to manage, and the expertise of a managed services provider gives us more than we could achieve with in-house resources.


Is anything else planned to be outsourced in ITS?
No additional outsourcing is planned.


Are you outsourcing the Help Desk?
No. We are augmenting the Help Desk with a managed services provider for after-hours, nights, weekends, and holiday support only. This provides our staff with greater work/life balance during off-hours.


How many positions are being added?
ITS is adding 12 positions to the department and filling existing vacancies.


Why are so many positions being added?
Deloitte benchmarked the College against peer and aspirant institutions and determined that the department was significantly understaffed. Deloitte recommended this minimum staffing level as appropriate and necessary to have a productive, highly functional department in order to meet the goals of the institution.


How will you fill these new roles?
Most roles have been filled by existing staff. Other roles will be posted and recruited for actively by Human Resources and ITS leadership. We aim to bring in a talented, diverse team of mixed levels of experience to infuse energy and new ideas in the department.


How many people were let go during the restructure?
Three positions were eliminated due to the network outsourcing in the winter, and an additional three positions were eliminated due to the restructuring, for a total of six positions, representing approximately 13% of the department. All of the individuals affected were offered a generous severance and benefits package.


Why were people let go during the restructuring?
As recommended in the Deloitte review, we are implementing new structures, technology, service offerings, policies and processes to optimize the future functioning of the department. As a result, the new positions within the ITS department all have new roles, responsibilities and requirements. While we were able to find suitable positions for the vast majority of the department where employees will be able to thrive, some individuals could not map to new positions due to the ability to perform the tasks and job duties of the new positions, the elimination or necessity of the role within the organization, performance considerations and/or business needs. These decisions were made carefully and with a significant amount of consideration.
