Updated Information: Explanation of Employee COVID-19 Testing Requirements

Dear Colleague:

Employees and volunteers who regularly access campus are required to be routinely tested for COVID-19. Human Resources wants to ensure that all employees understand how frequently they should test based on their vaccination status. The table below explains how many times a week you should test.

Test twice a week on nonconsecutive days.

Test once a week if you are on campus only for 2 consecutive days during the week.

Certain departments will have a higher testing frequency and staff in those departments will be notified of their testing requirements by their supervisor. 

Seasonal athletic employees and banquet staff will need to test the day of an event but are not required to test more than once a week if they are vaccinated. 

There are a few steps you’ll need to take before you are tested on campus for COVID-19. These steps are mandatory for all employees who come to campus.

Step 1: Verify You Can Access Your Holy Cross Email

Employees and volunteers will need to log into HC Clear with their Holy Cross Google account and should bookmark the website on their phone for easy access.

It is mandatory for all employees and volunteers to ensure that they are able to log into their Holy Cross email accounts. Please direct all questions regarding Holy Cross email access to the ITS help desk via email at helpdesk@holycross.edu or by phone 508-793-3548.

Step 2: New Hires/Volunteers Please Sign Three (3) Medical Consents in HC Clear for Testing and Disclosure

If you have not signed the three medical consent forms, you must do so in HC Clear before your first test.

The College is working with a number of vendors and contractors (including, but not limited to, Triumvirate and the Broad Institute) regarding testing, contact tracing, quarantine and isolation protocols and other COVID-19 response actions. Certain limited information about you may need to be shared with College personnel and those vendors and contractors who are assisting with the College’s COVID-19 response program, strictly when necessary to implement the College’s COVID-19 response. This information may include COVID-19 test results, information relating to any COVID-19 diagnosis, prognosis, and/or treatment, and other information necessary for the College’s COVID-19 response program, such as work schedule, residence, and the location of on-campus employment. The three forms that you must sign authorize and permit the sharing of that information for purposes of implementing the College’s COVID-19 response plan.

Step 3: Daily Symptom Checker

HC Clear is an online platform where employees and volunteers will be able to do their daily symptom screenings.

All employees and volunteers will need to fill out the Daily Symptom Checker in HC Clear each day before coming to campus, regardless of vaccination status,  to see if they are at risk of having COVID-19. Once completed, HC Clear will generate either a red X or a green check mark ✓ depending on the employee’s response to the Daily Symptom Checker. All employee and volunteer entries in the Daily Symptom Checker are monitored on a regular basis. Human Resources will contact those who either report symptoms or a known COVID-19 exposure for additional follow-up.

Step 4: Test Results

Employees and volunteers can schedule a COVID-19 test in HC Clear to drop off a test kit at the testing center in Hogan. However, employees and volunteers do not need to make an appointment to drop off their test kit at the drop-off boxes around campus. The locations of the drop boxes are identified below in Step 5. 

Test results will typically be provided in HC Clear within 12 to 48 hours after a test. Employees and volunteers will also continue to receive their results from the Broad via email, through the Care Evolve platform.

HC Clear will also monitor an employee and volunteer’s testing compliance status. Employees  and volunteers will get a red X on the “Am I Clear” page if they do not test within their assigned testing frequency. To maintain compliance, please test according to your assigned testing frequency.

Step 5: Get Tested

All employee and volunteer COVID-19 testing will be self-administered. The drop-off locations for test kits are:

  • The Hogan Campus Center in Hogan 320. Do NOT visit the testing center if you are experiencing symptoms or feeling ill.

  • Outside the ITS office in the basement of Fenwick Hall, available weekdays from 9 a.m. to 4 p.m.

  • The athletics department office in the Luth Athletic Complex. This drop-off site is available to employees working in Luth whenever the building is open, including during weekend games.

  • The Department of Public Safety inside the Jo, which is open 24 hours for employees working the third shift. 

Please note that you should not drop off a test kit between 4 p.m. Friday and 4 p.m. Saturday. Weekend kits will be sent to the lab Monday morning, and anything dropped off before Saturday evening will be too old to produce a reliable test result.

Kits continue to be available for pickup by employees in the testing center in Hogan, in Human Resources, and now also in Luth and public safety for third shift employees. The test kits have instructions on their usage, and the test should be administered just prior to going to the testing drop-off location.

Employees and volunteers must bring their Holy Cross ID cards to the drop-off locations and use their cards to swipe in. Once an ID card is swiped, a label with a barcode will be printed. Collect the label and place it in the plastic bag with the test sample and place it in the drop-off box. 

The hours for the Hogan testing location are:

  • Monday, Tues, Wednesday: 9 a.m. to noon, 1 p.m. to 5 p.m.

  • Thursday (Late Day): 10 a.m. to 1:30 p.m. and 2:30 p.m. to 7 p.m.

  • Friday: Open for employee walk-ins, 9 a.m. to noon, 1 p.m. to 5 p.m.

If you believe you need to take a test on a non-testing day, please contact your primary care provider or a local urgent care clinic to discuss your options.

Participation in testing and the Daily Symptom Checker is a requirement for accessing campus. Human Resources will be monitoring each employee and volunteers’ compliance with all required steps.
