Attendance Policy

STANDARDS OF ATTENDANCE

Substitution

As a student worker, you are required to find a sub for any shift that you will miss for any reason. This is your best option for maintaining your attendance record and achieving your perfect attendance bonus. The same website used to sign up for shifts (Shift Registration application) at the beginning of the semester will give you the ability to access other student employees who are available to cover shifts when you have a conflict and help you to keep your attendance record in good standing. Simply log into the website and select the shift that you need a sub for. You can even add a message describing why you can't work or thanking your sub in advance!

Those students who commit to subbing for a shift are now responsible for working it and any consequences for an incurred absence. Substitutes should inform the shift Captain upon arrival for whom they are subbing for.

If the sub needs to cancel the shift obligation, they must do so no less than 24 hours in advance of the shifts start time by securing another sub plus emailing the worker who sent out the original sub request and the Student Organizer.  Confirmed subs that do not show up for their shift will be emailed that they have 1 unexcused absence on their attendance record and they will have 1 week to make up their absence.

Amnesty and Make-up Shifts

You may work one Amnesty or Make Up Shift to erase one unexcused absence. If you choose to do a Make Up Shift, you will have one week to make up your unexcused absence. Otherwise, your opportunity to erase your absence will be to work an Amnesty Shift. These shifts will be in addition to your regularly scheduled shifts.


Amnesty Shifts: Monthly special meal events during the year that require
extra workers.

Make Up Shifts: Weekly shifts that are recognized as being short-staffed.
You will receive an e-mail with a list of these shifts to choose from once you miss a shift. You must notify the Office and respond as to which shift you’ve selected to erase your absence. Amnesty and Make Up Shifts can only be scheduled through the Office.

Please Note: A student employee is limited to a total of 4 Make Up Shifts per semester. Amnesty and Make up Shifts cannot be combined with subbing for another co-worker. In addition, missed weekend shifts can only be made up during another weekend shift.
If you do not erase your absence it can place your bonus in jeopardy. In addition, further disciplinary acts could follow, including termination.

Please Note: A total of three unexcused absences with no attempt to make them up or provide authorized notes/e−mails are cause for immediate termination from the Dining Department.

Call-In Policy

In the event that you become ill and cannot work, you should call your dining unit prior to your shift. When you call in, ask to speak with the Coordinator, Captain or Manager on Duty, or Student Organizer. Only they can accept your calls – Students who are ill are requested to secure a sub for their missed shift.

Inclement Weather

The College does not close for inclement weather, unless the Governor of the Commonwealth of Massachusetts declares a State of Emergency. However, Holy Cross Dining and its employees are considered essential personnel and must continue to provide uninterrupted service. If a storm is forecasted that may hinder your ability to get to work, please secure a substitute for your missed shift as you will still be responsible for the shift.

Excused Absence

Any absence from work due to a mandatory academic, Montserrat, varsity sport commitment or illness can be excused. Requesting a sub is still and always should be your first priority.  However, in the event that you can’t secure a sub, student employees must have an administrator, varsity coach or healthcare provider provide a letter or email of excuse. Letters must be written on Holy Cross Letterhead, or a healthcare form and brought to the Office within one week’s time.  Emails can be sent directly to: Kimball kso@holycross.edu Hogan hso@holycross.edu
If the Office has not received a letter, form or email within one week’s time, the absence will be considered unexcused and a make-up or amnesty shift must be scheduled.  Please note that Captains do not have the authority to excuse you from a shift.  All other absences are considered unexcused.

Montserrat Events & Emergencies

Any student who has a Montserrat event to attend must request a sub.  These events can leave a shift critically short handed due to the large amount of first year students involved in each cluster – in turn making the work load heavy and affecting the level of service.  For planning purposes, as soon as your Montserrat schedule has been confirmed, place your sub requests into the shift registry.

In the case of a serious or emergency situation, the Office must be notified as soon as possible.  The Coordinator or Assistant General Manager will make the judgment on the status of these absences on a case-by-case basis.

Working Extra Shifts

All Dining Student Employees are permitted to work extra shifts providing they have the Manager's permission and the shift is understaffed. Please note that working extra shifts beyond your scheduled ones do not make up for unexcused absences. Working extra shifts are purely voluntary and unrelated to your absence record.

Please Note: A total of 20 hours between your regular schedule and shifts picked up is not to be exceeded, except for in unusual circumstances.

We understand that you are students first and employees second. However, as a provider of service to the Holy Cross community, we have a responsibility to provide a consistent, quality level of service. Without the student work force, in appropriate numbers and at the proper time, we cannot provide the service that should be provided.
