The department
Chair is responsible for the security and integrity of all
departmental Faculty Files.
Chairs
shall have access to all Faculty Files other than their own.
Those who have a statutory right of access in connection with
promotion or probationary evaluation may examine the relevant
files in preparation for the annual meeting of the senior
and tenured members. However, persons who by reason of leave
are unable to avail themselves of this right are entitled
to examine the relevant Faculty Files on their return. Senior
members shall not remove Faculty Files from the physical confines
of the department, nor are copies to be made of any material
in them.
An outgoing
Chair shall remove the Faculty File of the incoming Chair
and place it in the Dean's Office. If the Chair is to be evaluated
during his or her term of office, the Faculty File will be
removed from the Dean's Office and kept in the custody of
one of the senior and/or tenured members of the department;
at the completion of the evaluation process it shall be returned
to the Dean's Office. An incoming Chair shall retrieve the
Faculty File of the outgoing Chair.
